AI Armor gives your team secure AI tools for business: chat, shared workflows, and AI agents in an environment MDL sets up and manages for you. Guardrails control what each employee’s AI can reach and update when roles change. The AI model providers don’t retain your data. For Kansas City teams already pasting work into personal AI accounts, it is the approved alternative.
MDL has managed networks, Microsoft 365 environments, and security for Kansas City businesses since 2003. AI Armor follows the same order we use for everything else we manage: get the environment, data, permissions, and guardrails right, then switch the tool on.
Ask most owners whether employees use AI, and the answer is “a few people, maybe.” Verizon’s 2026 Data Breach Investigations Report found that 45% of employees are now regular AI users on corporate devices. When we look at a business’s environment, we tend to find situations like these:
Blocking AI rarely sticks, because people go back to whatever saves them time. What works is an approved tool that is just as easy to use, with rules your team understands. That is the job AI Armor is built for. If you want to see what is running in your environment today, start with our article on shadow AI.
Three working tools, one managed environment, and guardrails over all of it.
This is the everyday piece: drafting an email reply, summarizing a 40-page PDF, rewriting a policy in plain English, comparing two versions of a contract, or outlining a proposal. The difference from a personal account is who controls it. Chat runs under each employee’s work identity, follows the guardrails for their role, and stops working for them the day they leave.
When someone on your team finds a reliable way to handle a recurring task with AI, such as turning meeting notes into a client recap in your house format, that method can be saved as a workflow and shared with everyone in the same role. New hires start from your team’s best approach instead of an empty prompt box. If you need AI built directly into your line of business applications, that is the work of our AI workflow automation and business application integration service.
Agents handle a defined, multi-step process from start to finish. Examples include answering staff questions from your approved handbook and procedures, sorting and routing inbound requests, or preparing the first draft of a recurring report from set sources. We scope each agent with you, give it only the access that process needs, and build in a human review point wherever its output reaches a client.
Guardrails control what each employee’s AI can access. The front desk’s AI does not reach payroll. An accounts payable clerk’s AI does not reach HR records. When someone is promoted, moves departments, or leaves, their AI access is updated as part of the same employee onboarding and offboarding process that handles their email and files.
MDL sets up and manages the environment: configuration, user access, guardrail changes as your org chart shifts, and support through the same help desk you already call. For businesses that want AI support across every tool they use, our managed AI services cover the ongoing operations.
If your company has decided to standardize on Microsoft 365 Copilot alone, our Microsoft 365 Copilot consulting may be the better starting point. We will tell you which fits during the assessment.
These are examples of the kind of work AI Armor supports, not client results.
| Team | Example tasks | Example guardrail |
| Accounting and finance | Summarize month-end variance notes; draft a follow-up asking a client for missing documents | Staff AI reaches only the client folders their role already uses |
| HR | Rewrite job descriptions; build an onboarding checklist; answer policy questions from the handbook | Personnel files are reachable only for HR roles |
| Operations | Turn a work instruction into a step-by-step checklist; summarize a long supplier email thread | No access to finance or HR data |
| Sales | Outline a proposal from approved templates; turn call notes into a clean summary | Pricing files limited to sales leadership |
| Front office | Draft replies to common questions; summarize voicemail transcripts | Limited to shared intake and scheduling information |
| Leadership | Summarize board packets and monthly reports; prepare talking points | Broader access, still set by role |
AI Armor is the secure tool your staff uses every day. The rest of MDL’s AI work prepares for it, guides it, or supports it.

We review your Microsoft 365 setup, identities, permissions, data, and the AI tools already in use, then show you where AI makes sense.
We clean up overshared sites, stale links, ownerless sites, and missing multi-factor authentication so AI does not expose what it should not.
Together we decide what each role’s AI can reach and write a short, readable acceptable use policy.
A single department starts with chat, then adds a workflow or two, with hands-on training on real tasks.
We expand department by department and keep managing access changes, guardrails and support as your business changes.
We support businesses on both sides of the state line, including Kansas City, MO, Kansas City, KS, Overland Park, Olathe, Lenexa, Leawood, Shawnee, Lee’s Summit, Independence, Liberty, Topeka, and Saint Joseph. See our full service area.
It depends on the type of account, how it is configured, and what employees type into it. Personal accounts sit outside company control, which is where most of the risk comes from. A company-managed environment with guardrails puts that control back with you. More detail in Is ChatGPT safe with company data?
Guardrails are rules enforced by the system that limit what AI can access for each user. In AI Armor, they are set by role, so each employee’s AI reaches only what their job requires, and they are updated when roles change.
The AI model providers used in AI Armor don’t retain your data. What employees are allowed to put into AI, and what AI can reach, is controlled by your guardrails and your acceptable use policy.
Most businesses asking this want a company-controlled AI workspace instead of personal accounts. AI Armor provides that: AI chat, workflows, and agents tied to work accounts, in an environment MDL sets up and manages.
Blocking usually pushes people to their phones. Give them an approved tool, a short policy that names what data is off limits, and guardrails that enforce it. Our readiness assessment also shows which AI tools are already in use.
Yes. Guardrails control what each employee’s AI can access, so HR, finance, and the front desk each see only what their roles allow.
AI Armor access is tied to the employee’s work account. When they are offboarded, their AI access ends along with email and file access.
No. MDL sets up and manages the environment, so your team focuses on using it. It works for small businesses as well as mid-sized ones.
Start with an AI Readiness Assessment, which typically takes two to four weeks. You get a clear picture of what needs fixing and where AI will help most.
Tell us how your team uses AI today, even if the honest answer is “we’re not sure.” We will look at your environment, flag what needs fixing first, and show you where secure AI tools would save your people time.
Get your environment ready, give your team approved tools, and let MDL manage the guardrails with AI Armor.
